We take your data seriously - no corporate nonsense, just straight talk about how we handle your info

Canadian Privacy Standards
Look, we get it - privacy policies are usually a drag to read. But here's the thing: we're not some massive corporate chain that treats you like a number. At RuneShroud Verse, you're training alongside us, and that means we respect your personal space both in the gym and online.
This policy breaks down what we collect, why we need it, and what we do with it. We've tried to keep the legal jargon to a minimum 'cause honestly, who has time for that? If something doesn't make sense, just shoot us a message - we're happy to explain.
When you join our warrior community, we need some basic stuff to get you started and keep things running smoothly. Here's what we're talking about:
We're not selling your data to random companies or spamming you with nonsense. Everything we collect has a purpose:
This is the main thing - managing your account, processing payments, booking your classes, and keeping track of your training program. Pretty straightforward.
Your health info helps our coaches modify exercises when needed and make sure we're not pushing you into something your body isn't ready for yet. Safety first, always.
We'll email or text you about class schedules, program updates, facility closures, or special warrior events. We're not gonna flood your inbox with daily spam - ain't nobody got time for that.
We look at overall trends (not individual data) to figure out what's working and what needs tweaking. Like if everyone's loving the Rune Circuit but nobody's showing up for early morning sessions, we'll adjust.
Sometimes we're legally required to keep records - tax purposes, liability waivers, that kind of thing. It's boring but necessary.
Occasionally we might tell you about new programs or special offers, but you can opt out of that anytime. One click and you're done.
We're pretty protective of your info. We don't sell it, rent it, or hand it out like candy. But there are a few situations where we need to share limited data:
If you get hurt during training (hope not!), we might need to share relevant health info with paramedics or your emergency contact. Just common sense stuff to keep you safe.
If we're legally obligated by Canadian law or a valid court order, we'll comply. But we'll let you know unless we're legally prevented from doing so.
If we ever sell the gym or merge with another facility (not planning on it, but you never know), your membership data would transfer to the new owners. You'd be notified well in advance.
What we DON'T do: We don't sell your data to advertisers, we don't share it with random third parties, and we don't use it for anything sketchy. Period.
Yeah, we use cookies - but not the delicious kind (though we wish). These are small files that help our website work better and remember your preferences.
These keep you logged in, remember what's in your booking cart, and basically make the site function. You can't really turn these off if you wanna use the member portal.
Help us see which pages get the most traffic, where people are getting stuck, and what needs fixing. All anonymous data - we're not tracking you individually.
Remember your settings like language choice or which location you prefer. Makes your experience smoother next time you visit.
We use basic analytics to understand website traffic patterns. Helps us know if our content's actually useful or if we need to rethink things.
Your Control: Most browsers let you block or delete cookies. Just know that some features might not work properly if you do. You can usually find cookie settings in your browser preferences.
Under Canadian privacy law (PIPEDA), you've got some solid rights when it comes to your personal data. Here's what you can do:
Wanna see what we've got on file about you? Just ask. We'll send you a copy of your personal information within 30 days (usually way faster).
If something's wrong or outdated, let us know and we'll fix it ASAP. You can update most stuff yourself in the member portal.
Want out? We'll delete your account and personal info. Just keep in mind we might need to keep some records for legal or financial reasons (like tax records), but we'll delete everything we're legally allowed to.
There's an unsubscribe link in every marketing email. Click it once and you're done - no hard feelings.
If you gave us permission to use your data for something specific (like testimonials or photos), you can take that back anytime. We'll stop using it immediately.
If you think we've mishandled your data, you can complain to us first and we'll try to make it right. If you're not satisfied, you can reach out to the Office of the Privacy Commissioner of Canada.
How to Exercise These Rights: Just email us at info@runeshroudverse.info or stop by the front desk. We'll help you out, no hassle.
We take security seriously - maybe not Viking-fortress-level serious, but pretty darn close. Here's what we do to keep your info safe:
Our office computers are password-protected, and paper records (we don't have many) are locked up. Can't have someone wandering in and snooping through files.
Everyone on our team knows the privacy rules and signs confidentiality agreements. We're not perfect, but we're all on the same page about keeping your info safe.
Keep your login credentials private. Don't share your password, and if you think someone got into your account, change it immediately and let us know.
Breach Notification: If we ever have a data breach that puts your info at risk, we'll let you know ASAP and tell you what happened and what we're doing about it. Transparency matters.
We don't keep your data forever - that'd be weird and unnecessary. Here's our approach:
As long as you're training with us, we keep your membership and training data current. Makes sense, right?
After you cancel, we'll keep basic records for about 7 years (mostly for tax and legal reasons). Your detailed training logs and preferences get deleted after 2 years since you probably won't need 'em.
Tax law requires us to keep financial records for 7 years. After that, they're gone.
If you're on our email list but never became a member, we'll keep you on there unless you unsubscribe or haven't engaged with us in over 3 years.
Bottom line: we keep what we need for as long as we need it, then it's deleted. Simple as that.
We do offer youth warrior programs for teens (ages 13-17), but with special considerations:
Anyone under 18 needs a parent or guardian to sign up and consent to our terms. No exceptions.
For minors, we only collect what's absolutely necessary - basic contact info, emergency contacts, and relevant health information. That's it.
Parents can access, review, or request deletion of their child's information anytime. Just reach out to us.
We don't send marketing emails directly to anyone under 18. All communication goes through the parent or guardian.
We sometimes take photos or videos during classes for social media, marketing, or just to celebrate your progress. Here's how we handle that:
When you sign up, we ask if you're cool with being photographed. If you're not, we'll make sure you're not in any promotional shots. Just let us know.
Changed your mind? No worries. Tell us and we'll stop using your images going forward and remove existing ones from our active marketing materials.
Sometimes we take wide shots of classes in action. If you don't wanna be in those, just position yourself out of frame or let the coach know beforehand.
Feel free to take pics and tag us on social media! We love seeing your warrior journey. Just be respectful of other members' privacy.
